Signing In

Access the system with your store credentials

Login page

Login page โ€” https://billing.h2owaterpurifier.com

  1. Open https://billing.h2owaterpurifier.com in any browser.
  2. Enter your Email address.
  3. Enter your Password.
  4. Click Sign In. Admins and managers land on the Dashboard; billing, inventory, and service staff land directly on the screen for their role.
Tip: After 5 failed attempts your account is temporarily locked for 15 minutes.
Change your password any time: click your name in the top-right corner โ†’ Change Password. This signs you out of all devices, so you'll need to log back in with the new password. If you're locked out entirely, ask a Super Admin or Store Manager to reset it for you from Users.
Default demo credentials:
Admin: admin@aadhirai.com / Admin@1234
Clerk: clerk@aadhirai.com / Clerk@1234
Change these after first login.

Dashboard Admin / Manager

Your landing page โ€” a snapshot of what needs attention today

The Dashboard is the first thing Super Admins and Store Managers see after signing in. It brings together the numbers you'd otherwise have to check across several separate pages, each one linking straight through to its full page.

  1. Quick Actions at the top โ€” jump straight into New Sale, New Quotation, or Register AMC.
  2. Today's Sales and Outstanding โ€” today's billed and collected totals, and how much is still owed across open invoices.
  3. Low Stock Alerts โ€” how many products are at or below their reorder threshold right now.
  4. Pending AMC Approvals and Overdue Service Visits โ€” only shown if your account has the Service module enabled.
Tip: Each card links straight to its own full page โ€” click "Outstanding" to see the actual list of unpaid invoices, for example.
Card totals are deliberately not summed together across cards (e.g. sales + service charges), since a billed service visit already shows up inside "Today's Sales" โ€” adding them again would double-count it.
3

Checkout

Create a new sale and generate an invoice

Checkout page

Checkout โ€” cart and order summary

How to create a bill

  1. Search for a customer by name or phone number in the top search box. Leave blank for a walk-in sale.
  2. Search for a product by name, item code, or barcode in the search box below it. Click Find, press Enter, or scan with a barcode scanner / the in-app camera scanner.
  3. The item appears in the cart. Adjust the quantity if needed.
  4. Repeat to add more items. Optionally click Apply Discount for a flat or percentage discount.
  5. Select the Payment Mode (Cash, UPI, Card, etc.), enter the amount, and add the payment. You can add more than one payment mode to split a payment.
  6. Click Complete Sale to generate the invoice and print a receipt.
Tip: Scanning a barcode with a USB scanner (or the phone app's camera) automatically fills the product search box.
Selling a service-tracked product? If any item in the cart is flagged as requiring service tracking, you must pick a customer before you can complete the sale โ€” otherwise there's no one to attach the resulting AMC record to, and the sale is blocked with a clear message until you do.
4

Quotations

Draft a price quote a customer can accept later, without committing stock yet

  1. Click Quotations in the sidebar, then New Quotation.
  2. Search for a customer and add items, the same way as Checkout.
  3. Optionally set a discount and a Valid Until date, then save.
  4. When the customer is ready to buy, open the quotation and click Convert to Invoice โ€” this creates the real invoice, deducts stock, and records the payment, exactly like a normal sale.
  5. Changed your mind, or the customer walked away? Open the quotation and click Cancel Quotation โ€” only an open (not yet converted) quotation can be cancelled.
Tip: Stock isn't reserved or deducted until a quotation is actually converted to an invoice โ€” a quotation is just a price on paper until then.
Service-tracked products need a customer on the quotation too, for the same reason as Checkout โ€” its AMC record can't be created without one when it converts.
5

Invoices

View, search and manage past bills

Invoices page

Invoices list โ€” searchable with date range filter and status filter

  1. Click Invoices in the left sidebar.
  2. Use the search box to find by invoice number, customer name, or phone.
  3. Use the date pickers and status dropdown (All / Paid / Partial / Cancelled) to filter.
  4. Click the eye icon on any row to view full invoice details, print a receipt, or act on it.
Status colours: Green = Paid  |  Yellow = Partial  |  Purple = Returned  |  Red = Cancelled

Closing out a partial / credit sale

Sold something on credit, or the customer only paid part of the bill? Open the invoice and click Record Payment โ€” the amount box is pre-filled with the exact balance still due, but you can enter less for another partial top-up. The invoice status updates automatically: it stays Partial until the full balance is collected, then flips to Paid on its own. Every repayment is listed under Payments on that invoice, so there's a full record of how it was paid off over time.

Other actions from the invoice detail: Return Items (restocks the returned quantity and records the return), and Cancel Invoice (voids the whole invoice and restores all stock) โ€” both available to Super Admin / Store Manager.
6

Accounts & Collections Admin / Manager

Revenue summary, payment breakdown, outstanding amounts, and GST reporting

Accounts page

Accounts โ€” daily/weekly/monthly revenue with outstanding invoices

  1. Click Accounts in the left sidebar.
  2. Choose Today / This Week / This Month / Custom to change the period.
  3. The top cards show: Total Billed, Collected, Outstanding, Cancelled, Avg Invoice.
  4. The Payment Mode Breakdown shows how much was collected via Cash, UPI, Card, etc.
  5. The Outstanding / Credit Invoices table lists bills that are not fully paid.
  6. Click CSV or PDF at the top to export the collections report.

GST Report

Further down the same page is a dedicated GST Report, for whenever you need invoice-level GST figures rather than just a revenue total โ€” it lists every invoice in the selected period with its taxable value, tax amount, and total, along with the customer's GSTIN where one is on file. Export it as CSV, Excel, or PDF; it uses the same date range as the rest of the Accounts page, and cancelled invoices are excluded.

Tip: Check this page at the end of each day to reconcile cash and UPI collections.
7

Inventory

Manage stock, add new products and monitor low-stock alerts

Inventory page

Inventory โ€” products with categories, item codes and stock counts

  1. Click Inventory in the sidebar.
  2. Search by product name, item code, or brand.
  3. Click the arrow on any row to expand and see its variants (e.g. different sizes or pack quantities).
  4. Click + Add Product to add a new product with a variant, price and opening stock.
  5. Click the pencil icon on a product to edit it โ€” its Variants list is shown right there too, each with its own edit pencil, so you don't need to hunt for it separately.
  6. Click the power icon to deactivate a product you no longer sell โ€” it disappears from Checkout/Quotation search but its past invoices stay intact. Click again to reactivate.
  7. Click the Low Stock Alerts tab to see products below their reorder threshold.
  8. Use Export / Import to bulk-update stock via CSV.
Two product types:
Physical Product โ€” normal stocked items; comes in Bulk Qty mode (a running total) or Serial-tracked mode (each unit tracked by its own serial number).
Service or Fee โ€” labor, visit charges, installation fees; never has physical stock and is always sellable.
Requires service tracking: turn this on for a physical product (e.g. a water purifier) that should create an AMC record whenever it's sold to a customer.
8

Customers

Manage customer records and purchase history

Customers page

Customers โ€” searchable list with contact details and purchase history

  1. Click Customers in the sidebar.
  2. Search by name, phone, or email.
  3. Click + Add Customer to register a new customer, or click an existing row to view their profile and invoice history.
  4. Click the pencil icon to edit a customer's details, or the toggle icon to deactivate one you no longer deal with โ€” their history stays intact, they just drop out of active search.
Tip: Fill in GSTIN for business customers who need it on their invoices for their own GST filing.
9

Service & AMC Service module

Track annual maintenance contracts and the visits scheduled under them

This section only appears for accounts with the Service module enabled. An AMC is the service-coverage record for one product sold to one customer โ€” it's created automatically whenever a service-tracked product is sold or quoted, or you can register one directly for a customer's existing/pre-owned unit.

Registering an AMC directly

  1. Click Register AMC (top-right of the Service page, or from the Dashboard's Quick Actions).
  2. Pick a customer and a service-tracked product, set the AMC period and service frequency, and save. Use Add Another Product to register several products for the same customer in one sitting.
  3. For onboarding an existing customer base in bulk, use the CSV import tab instead โ€” download the template, fill it in, and upload it.

Pending Approval

Every AMC created from an actual sale starts here, waiting for review. Approve it (setting the AMC period and service frequency) to activate it and schedule its first visit, or Reject it if it shouldn't be tracked.

Service Jobs

Every scheduled or completed visit lives here. Use the search box, status filter, sort dropdown (Due Date / Customer / Product), and the date-range picker to find what you need โ€” it opens showing visits from 15 days ago to 30 days ahead by default. From a job row you can Reschedule, Assign/Reassign a technician, Bill Customer once there's a charge to collect, or Cancel the job.

All AMCs

A dedicated list of every AMC record regardless of status, with the same kind of search, sort, and date-range filtering as Service Jobs (pending or not-yet-scheduled AMCs always show, since they're not date-scoped the same way). For an active AMC you can Edit its period/frequency or Cancel it; for a cancelled one, Reactivate undoes a mistaken cancellation โ€” it goes straight back to Active if it had already been approved, or back to Pending Approval if it was a claim that was rejected before ever being reviewed.

Tip: Reassign/Reschedule live only on Service Jobs, and Edit/Cancel/Reactivate live only on All AMCs โ€” each screen sticks to its own actions so the two never overlap.
10

Notifications & Next Service Service module

What needs your attention, and what's coming up

Notifications

Click the bell icon in the top bar. Whenever a technician closes a service visit, an entry appears here with their notes/customer feedback. For each one you can Mark OK (nothing more to do), or Add Action Item to leave yourself a follow-up note that stays visible until you separately Resolve it. The bell's number badge counts unresolved notifications plus AMC visits due soon.

Next Service

A read-only lookahead of upcoming and overdue service visits โ€” a quick answer to "what's coming up", without any reschedule/assign buttons cluttering it (do that from Service Jobs instead). It defaults to the window configured in Settings โ†’ Service Settings, with a dropdown to look further or closer ahead for just this view.

User Management Admin only

Add and manage staff accounts

Users page

User Management โ€” staff list with roles and account status

  1. Click Users in the sidebar (Super Admin / Store Manager).
  2. Click + Add User to create a new staff account with a name, email, password, phone, and Role.
  3. Click the pencil icon on a user to edit their name, phone, or role. Email can't be changed here โ€” it's used to route their login to the right account.
  4. Click the key icon to reset a locked-out staff member's password โ€” a temporary password is generated and shown once, so make sure to hand it to them before closing that dialog.
  5. Click the toggle icon to deactivate/reactivate an account.

  1. Click Audit Logs in the sidebar.
  2. Filter by Action type (Invoice Create, Payment Received, Stock In, Return, etc.).
  3. Filter by date range to narrow results.
  4. Click Details on any row to see before/after values for that change.

Settings page

Settings โ€” store name, address, GSTIN and UPI QR configuration

  1. Click Settings in the sidebar.
  2. Update Store Name, Phone, Address, and GSTIN, then Save Changes.
  3. If the Service module is enabled, use Service Settings to set how many days ahead the Next Service screen and the bell's due-soon count should look by default.
  4. Under Payment QR Configuration, upload a static UPI QR image to show on invoices.
Dynamic UPI QR: For automatic per-invoice QR codes (exact amount), set your UPI VPA (e.g. aadhirai@upi) in the server's backend/.env file under STORE_UPI_VPA.

Mobile App (Android)

Install Aadhirai Billing as an app on your phone โ€” same login, same data

This is the same website wrapped as an installable Android app โ€” useful mainly for checkout and service visits, since it gives the in-app barcode/QR scanner reliable access to your phone's camera. It isn't on the Google Play Store; you install the file directly. Because it always loads the live site, every feature described in this guide is already available in the app the moment it ships on the website โ€” there's nothing to reinstall for a feature update.

โฌ‡ Download for Android

Installing it

  1. Open this page on your Android phone and tap Download for Android above. (Tapping it on a desktop just saves the file โ€” you need to move it to the phone, or open this page in the phone's own browser instead.)
  2. Android will likely warn that it blocked an install from an unknown source โ€” this is expected, since the app isn't distributed through the Play Store. Tap Settings on that warning, then allow installs from this app (usually Chrome or your Files app).
  3. Go back and open the downloaded file again, then tap Install.
  4. Open Aadhirai Billing from your app drawer and sign in with the same email and password you use on the website.
  5. When the in-app scanner asks for camera permission, allow it โ€” needed for scanning barcodes/QR codes during checkout.
Tip: The app always loads the live website, so any update to the site shows up automatically โ€” you only need to reinstall if the app itself changes (icon, permissions).
Not seeing the "unknown sources" prompt, or install fails? Make sure you downloaded the file with your phone's own browser (not transferred some other way that strips it), and that you're running a reasonably current version of Android.

Frequently Asked Questions

Common questions and answers

How do I reprint an invoice?
Go to Invoices โ†’ find the invoice โ†’ click the eye icon on the right โ†’ click Print Receipt. The receipt opens as a normal page you can scroll through before printing โ€” it only prints when you click the Print button on it.
A customer only paid part of the bill. How do I collect the rest later?
Go to Invoices โ†’ open the invoice โ†’ click Record Payment. The amount is pre-filled to the exact balance due; adjust it if this is another partial top-up. The invoice flips to Paid automatically once the full balance is collected.
A customer returned a product. How do I process it?
Go to Invoices โ†’ open the invoice โ†’ click Return Items โ†’ select the items being returned and quantity โ†’ confirm. Stock is automatically restored.
How do I add stock when new products arrive?
Go to Inventory โ†’ find the product โ†’ expand it โ†’ click + Stock on the variant. The system logs a Stock In entry in Audit Logs automatically.
How do I cancel an invoice, quotation, or service job?
Invoice: open it โ†’ Cancel Invoice (restocks everything). Quotation: open it โ†’ Cancel Quotation (only while still open). Service Job: Service Jobs tab โ†’ Cancel on the job row (only while not yet billed).
Can I apply a discount to a bill?
Yes. On the Checkout screen click Apply Discount and choose either a flat amount (e.g. โ‚น50 off) or a percentage (e.g. 10%). Large discounts may require manager approval depending on your settings.
How do I export the accounts or GST report?
Go to Accounts โ†’ select the period โ†’ click CSV or PDF for the collections report, or use the CSV / Excel / PDF buttons on the GST Report section further down the same page.
I forgot my password. What do I do?
Ask a Super Admin or Store Manager to reset it for you from Users โ€” they'll get a one-time temporary password to give you, and you can change it yourself afterwards from the account menu.
What's the difference between "Register AMC" and a new sale creating an AMC automatically?
Selling a service-tracked product through Checkout or a converted Quotation creates an AMC claim automatically, starting in Pending Approval for review. Register AMC is for the opposite case โ€” a customer's existing or pre-owned unit that was never sold through this system โ€” and goes straight to Active since there's no sale to review.
A service visit's due date has already passed. What happens?
It shows as Overdue on Service Jobs and on the Next Service screen until it's rescheduled, billed, or closed โ€” it isn't hidden or auto-cancelled.
The page says "Cannot reach server". What do I do?
Check your internet connection. If the connection is fine, the server may have restarted. Contact your administrator to check that the backend service is running on the server.
What is the difference between "Bulk" and "Serial-tracked" stock?
Bulk tracks a total count (e.g. 24 Oil Filters). Serial-tracked tracks each individual unit by serial number (e.g. each RO purifier unit has a unique ID). Use serial-tracked for high-value, individually identifiable units.
